Follow-up setup

Make sure someone answers each inquiry

Alerts, task rules and simple follow-up sequences set up in your CRM, with consent handled the way your own counsel advises.

Tracking and follow-up, in plain terms

This service sets up the measurement and handling around your leads. When someone fills in a form, the setup records where they came from, puts them in your CRM with that source attached, alerts the person who should respond, and later tells the ad platforms which leads went somewhere.

It is technical work, but the goal is ordinary: you should be able to answer "where did this lead come from, and what happened to it?" without digging through several tools.

Consent for calls and texts sits outside the tracking work. That is the advertiser's responsibility, set with your own counsel. The tracking setup records what happened. It does not change how many people fill in the forms or how the ad platforms behave.

What tracking setup usually includes

Scope depends on how many platforms and forms you have, but a typical project includes:

  • An audit of the tags, pixels and scripts already on your site
  • A Google Tag Manager container, in your account, as the one place tags live
  • GA4 events for form submissions and other key actions, marked as key events
  • Conversion tags for each ad platform you use
  • A UTM naming sheet and tagged links for current campaigns
  • Hidden form fields that pass campaign details into your CRM
  • Lead routing and owner assignment in your CRM
  • Speed-to-lead alerts
  • Offline conversion import from CRM stages, where the platforms support it
  • A short report and a written record of what was set up

Who keeps the setup running afterward

Tracking needs upkeep. New forms get added, campaigns change names, a CRM field gets renamed, and a tag stops firing. Settle who handles that before the project ends.

Common arrangements:

  • Your own staff take over, using the provider's written documentation
  • The provider stays on for a small amount of upkeep each month
  • Whoever manages your ads also maintains their conversion tags

Whichever you choose, ask for a written handover: the Tag Manager container contents, the list of GA4 events, the UTM naming sheet, the CRM field mapping, alert rules and how offline imports run. With that in hand, someone new can pick up the setup without starting over.

Questions about lead tracking and follow-up

Which CRMs can form leads be routed into?

Most common CRMs accept form leads, including HubSpot, Salesforce and Pipedrive, either through a direct integration or a connector tool. The setup maps each form field to a CRM property, saves the campaign source, checks for duplicates and assigns an owner.

What is a speed-to-lead alert?

It is a notification sent when a new lead arrives, by email, Slack or the CRM's mobile app, to the person who should respond. It usually includes the name, the service asked about, the source and a link to the record. How quickly your team follows up is up to you.

Who should own the tracking accounts?

Your business. Google Tag Manager, GA4, the ad accounts and the CRM should all be owned by your company, with providers added as users. That way the setup and its history stay with you if you change providers.
